Collection Notice

Last updated 21 October 2026

This short notice explains what is collected when you join your church's Ministry Planner, register for an activity, or check a child in. Churches may link to it from their forms.

Who collects it

Your church collects the information, using Ministry Planner as its software. Ministry Planner holds it on the church's behalf.

What and why

  • Contact details, so the church can reach you about services, rosters and events.
  • Date of birth and family relationships, so the church can place people in the right groups and know who may collect a child.
  • For children: name, group, allergies or medical notes, and authorised pick-up people, to keep children safe and run check-in and check-out.
  • Attendance and volunteer records, to run services and meet child safety requirements.

Who sees it

Church leaders and volunteers who need it for their role. It is not sold or used for advertising. Our hosting and email providers handle it only to run the service, and some may be outside Australia.

If you don't provide it

The church may not be able to roster you, contact you, or accept a child into a program.

Your choices

You can ask your church to see or correct your information, or to stop contacting you. More detail is in the Privacy Policy.
